TRAVEL CHARGES FOR ALL PHOTOGRAPHY CATEGORIES:
Travel distances start from Hico, TX. Kimberly caters to all of central Texas (DFW to College Station) and beyond. Travel is within the US only. Some larger photoshoots or wedding packages include free travel (these packages and details are under the category you’re interested in). International shoots will be quoted a custom travel cost.

Note: As of July 1, 2026, the government standard travel is .76 per mile. See options and exceptions below:

MILEAGE:

  • WEDDING Mileage: We travel throughout Texas for Weddings and are NOT limited to the map radiuses however travel costs may apply as follows:

    • Mileage is WAIVED for the first 100 miles (one way) when booking a wedding AND .76c/mi following this.

    • Some of our larger wedding packages include FREE travel. Please visit our wedding packages under investment to see which packages include FREE travel.

  • Seniors, Families, Engagement, Equine, Livestock, Branding, Newborn, Maternity, etc: We travel throughout Texas for these services and are NOT limited to the map radiuses however travel costs may apply as follows:

    • WAIVED & FREE if other shoots are in your area are scheduled around the same time (which happens often due to Kimberly stacking her travel with multiple photoshoots), OR .76c/mi.

    • Some senior and engagement packages include free travel. Please visit the investment packages for your category to see which ones include travel.

  • Real Estate, Headshots, Product:

    • .76c/mi from our office to your property and back.

    • KDP only travels in a 60 mile radius from Hico for these services.

HOUSING:

  • Any shoot time, plus the required round-trip driving distance, that equals or exceeds 8 hours in a day would require a hotel stay.

  • If any distance permits a hotel stay, these charges will be invoiced by KDP and paid for by the client by two weeks prior to your scheduled shoot.

  • For safety, four-star hotels or above are booked.

  • If the event where we are shooting is at a hotel, it would be our first choice to stay in that same location. We request to use your room block discount if applicable.

  • If you’d rather book the hotel for the photographer and their crew yourself, that is fine with us as long as the accommodations meet our hotel requirements, and the booking reservation details are given to KDP by two weeks prior to the scheduled shoot or event. Many clients do this to group us into their multi family room discounts, or to use their hotel points.

FLIGHTS & RENTAL CARS:

  • The determination if a flight and rental cars are needed will be up to the photographer when considering the distance and location of the photoshoot or event.

  • Flights and rental cars will be booked through the photographer, unless pre-arranged with the client.

  • Any shoot needing a flight will be custom bid prior to submission of our contract and all travel fees will need to be pre-paid prior to travel.

MEALS:

  • Depending on the length of your event, meal compensation will sometimes be required if the shoot or event exceeds 5 hours.

  • If your wedding venue is providing complimentary vendor meals, please let KDP know when booking.

  • Any shoot needing meals will be custom bid prior to submission of our contract and all travel fees will need to be pre-paid prior to travel.

Retainer

RETAINER
• A non-refundable retainer of 50% is due upon scheduling any session or event to secure your date. Dates are not reserved until the retainer is made and the contract is signed. Retainers are non-refundable and non-transferable, however, if your shoot falls through and will not be taking place, the retainer maybe used toward another scheduled session within 6 months before it is considered forfeit.

• Remaining balances are due by two days prior to your scheduled shoot date, (or 30 days prior for all weddings & events).

Rescheduling

RESCHEDULING

• Rescheduling is approved for any bad weather days or family emergencies only. We will look at the next available dates as close to our shoot as possible to reschedule to.

  • Available reschedule dates that are super close to your original date are not guaranteed, however, we will select one of our first available dates that works for both of us.

  • Only one personal reschedule is permitted.

  • Any cancelled shoots forfeit any, and all, paid retainer, which are non-refundable.
